Managing inventory efficiently is essential for any business to prevent stock shortages and overstocking. The Replenishment List feature in Afosto helps automate this process by identifying products that need to be restocked based on predefined inventory thresholds.
Utilizing warehouse settings such as safety stock, reorder points, optimal stock levels, and maximum stock limits, the system ensures that businesses can maintain smooth operations with minimal manual intervention.
This feature not only saves time but also improves inventory accuracy, helping businesses optimize purchasing decisions, reduce lost sales due to stockouts, and maintain a steady supply chain. With Replenishment Lists, businesses can create structured replenishment plans that align with their warehouse and company-specific needs, ensuring seamless inventory management.
Warehouse Settings for the Replenishment List
Replenishment lists are generated based on the warehouse settings assigned to each product. Before using replenishment lists, you must configure these settings to ensure accurate stock replenishment recommendations.
Each product can have multiple warehouse settings, allowing for specific configurations per warehouse and company. The key settings include:
- Safety Stock: Extra inventory is kept to manage unexpected demand spikes or supply chain delays.
- Reorder Point: The stock level at which new inventory should be ordered to avoid shortages.
- Optimal Stock Level: The ideal inventory level to maintain for smooth operations.
- Maximum Stock Level: The highest allowable quantity for a product in a specific warehouse.
NOTE: Since multiple companies can use the same warehouse in Afosto, configuring warehouse settings per company ensures that each business maintains independent stock levels and ordering preferences. This flexibility allows businesses to align replenishment strategies with their specific inventory needs.
Generating a Replenishment List
Replenishment lists can be generated for specific warehouses and companies, as long as their respective warehouse settings have been configured. By generating a replenishment list, you can:
- Identify which products have reached or dropped below their Reorder Point.
- Determine the required replenishment quantity per warehouse and company.
- Ensure stock levels remain optimized without overstocking or shortages.
This method provides a clear overview of which products need replenishing, ensuring efficient stock management.
How to Generate a Replenishment List
Navigate to the Replenishment Lists option under the Purchase section at the left sidebar of the Afosto platform.
Click the “+ Generate List” button at the top-right corner of the screen.
A Generate replenishment list window will appear, choose your Warehouse and Business then click the “Generate” button to generate replenishment list.
The system will automatically display a list of products that have fallen below their reorder points. Review the suggested replenishment quantities and make any necessary adjustments.
You can close or open this list, and export the list in CSV format.
Open Replenishment List
The Open Replenishment List finalizes the list, making it active for processing. However, even after opening the list, you can still remove products if needed. This action confirms that the replenishment list is ready for further stock management steps, such as ordering or transferring inventory.
Close Replenishment List
The Close Replenishment List finalizes the list, indicating that the replenishment process is complete. However, products must be actually replenished to be excluded from future replenishment lists. If the list is closed without replenishing the stock, the same products will continue to appear on new replenishment lists.
Export List (.csv)
The Export List (.csv) feature allows users to download the replenishment list in a CSV file format. This enables easy data sharing, offline record-keeping, and further processing in spreadsheet applications like Excel or Google Sheets. It helps streamline inventory management by providing a structured overview of required stock replenishments.
You can delete a Replenishment List by clicking the ellipsis icon (three dots) and selecting the Delete option.
Replenishment Quantities on the List
A replenishment list includes all products that have fallen below their reorder point and require restocking. The replenishment quantity is calculated as follows:
Replenishment Quantity = Optimal Stock Level - Current Stock Level
Example:
- Product A has 8 units in stock in Warehouse A for Company A.
- The Reorder Point for this product is 10 units.
- The Optimal Stock Level is 50 units.
- Since the stock has fallen below the reorder point, the product appears on the replenishment list.
- The replenishment quantity is 42 units (50 - 8).
Final Replenishment Advice
To prevent duplicate orders, the system considers two key factors before finalizing the replenishment advice:
- Existing Replenishment Lists: If a product is already included in another replenishment list, the system displays that quantity in the "On Replenishment Lists" column.
- Incoming Stock: If the products are on an existing delivery list, the expected stock is displayed in the 'Incoming' column. A delivery list is a list you receive from your supplier with products you are expecting to receive. It can also be a delivery list you get from a different business, for instance, when that business has stock for a product, but your business doesn't.
These values are automatically subtracted from the replenishment quantity, ensuring that only the necessary stock is reordered. As a result, the final replenishment advice may differ from the initial replenishment quantity.
Order Unit & Reordering
The Replenishment Advice Quantity determines how much stock should be reordered. This number is automatically entered in the "Reorder" column based on the product’s Standard Order Unit. You can adjust this unit as needed.

Example 1: Ordering in Single Units
- Product A has a Replenishment Advice of 76 units.
- The Standard Order Unit is set to 1 unit per order.
- 76 units must be reordered (76 ÷ 1 = 76).
Example 2: Ordering in Bulk (Crates)
- Product A has a Replenishment Advice of 76 units.
- The Standard Order Unit is set to Crates (1 crate = 24 units).
- 4 crates must be reordered (76 ÷ 24 = 3.16, rounded up to 4 crates).
Reorder quantities are automatically rounded up to ensure stock replenishment is done in whole units.
