Order items in detail

In Afosto, the products your customer wants to buy are called 'order items'. Each product in an order is a separate order item. Each order item has its own data and follows its own process.

What are the parameters of an order item?

Each order item has various 'parameters'. These are simply pieces of information about the product. Here are some of the most important ones:

  • ID and SKU: Every order item has a unique ID and a unique SKU. A SKU, or Stock Keeping Unit, is a specific code that helps identify the product. You can think of it as the unique name of the product.

  • Status: Just like an order, an order item has a status. This status can be 'Concept', 'Open', or 'Closed' and indicates where the product is in the sales process.

  • Identifiers: These are specific details about the product, such as colour, size, brand, and so on.

  • Position: The position shows where the product is located in your warehouse. This helps with organising your stock.

  • Options: You can choose between two options for your order items: 'ALLOCATE' and 'FULFIL'. When you choose 'ALLOCATE', Afosto ensures the product is in stock. When you choose 'FULFIL', Afosto assists with shipping the product.

  • Price: This shows how much the product costs. This can be the base price, but also any taxes, discounts, and the final amount the customer needs to pay.

  • Delivery type: This shows how the product reaches the customer. 'SHIP' means the product is shipped, 'COLLECT' means the customer picks up the product in person.

  • Delivery method: Here you can specify which delivery service you use to ship the product.

  • Expected on: This is the date on which the customer is expected to receive the product.

  • Purchase price: This is the price you paid for the product yourself. This helps you see how much profit you are making.

  • Commission: If you sell the product through a third party, you can enter the commission you need to pay here.

  • Adjustments: If you want to manually adjust the price of the product, for example to apply a discount, you do so here.

  • Meta_data: Here you can add extra information about the product that does not fit in the other categories.

What are the status indicators of an order item?

A status indicator shows where a product is in the sales process. Here are the most important status indicators:

  • is_available: Shows whether the product is in stock.

  • is_expected: Shows whether you expect the product to be in stock soon.

  • is_missing: Shows whether the product was lost during processing.

  • is_listed: Shows whether the product appears on a pick list.

  • is_boxed: Shows whether the product has been packaged for shipping.

  • is_labeled: Shows whether the package has received a shipping label.

  • is_covered: Shows whether the cost of the product has been settled, either via payment or credit.

  • is_approved: Shows whether the product has been approved for shipping.

  • is_released: Shows whether the product has been released for shipping.

  • is_picked: Shows whether the product has been retrieved from the warehouse.

  • is_collected: Shows whether the product has been sorted for shipping.

  • is_handed: Shows whether the product has been handed over to the carrier.

  • is_cancelled: Shows whether the order has been cancelled.

  • is_returned: Shows whether the product has been returned by the customer.

  • is_invoiced: Shows whether the product has been invoiced.

In Afosto, these statuses are updated automatically based on the process you choose for your order items.

Note that when you choose an option such as 'ALLOCATE', 'COVER', or 'INVOICE', Afosto takes responsibility for managing the corresponding status. For example, with the 'ALLOCATE' option, the 'is_available' status is managed by Afosto; with 'COVER' it is 'is_covered', and with 'INVOICE' it is 'is_invoiced'.
