Add lookup products

Manual: Add Lookup Products via Bulk Action (OMS/WMS)

With this bulk action, you can add multiple lookup products at once within afosto.app (OMS/WMS).

Lookup products are simple products mainly used for:

  • Quick order entry

  • Manual order lines

  • POS or counter sales

  • Administrative or service items

  • Non-stock-managed products

Lookup products are lightweight and usually not linked to warehouse stock.

What does this bulk action do?

You create multiple lookup products at once based on a list of SKUs and optional product information.

After processing:

  • The lookup products are immediately available in orders.

  • You can select them in manual order lines.

  • They are visible in the product overview.

Step 1 Go to the bulk action

Log in to afosto.app. Go to Processes. Open Bulk actions. Choose Add lookup products. You will now see a spreadsheet input screen.

Step 2 Unique name

  • Give your bulk action a unique reference.

  • Click Next to continue.

Step 3 Paste your data into the spreadsheet

You can copy and paste your data directly from Excel or Google Sheets. The following columns can be used (* = required):

What is required?

SKU (required)*

This is the unique product code of the new lookup product.

Important:

  • The SKU must not already exist.

  • The SKU must be unique within the system.

  • SKU is leading — not the product name.

  • Without a valid and unique SKU, the row will be rejected.

Explanation of optional fields

**Label **The name of the product, visible in order lines and overviews. If you do not provide a label, the SKU is usually used as identification.

**Barcodes **Allows the lookup product to be scannable.

Use this when:

  • The product is scanned at the counter.

  • You use scanners or POS.

**Image **An image of the product.

This is mainly relevant for:

  • POS

  • Clear order entry

  • Visual recognition

Make sure the image is correctly available according to the configured structure.

Step 4 Check your input

Always verify:

  • Are all SKUs unique?

  • Do these SKUs not already exist?

  • Are barcodes not duplicated?

  • Are labels correct?

Step 5 Execute the bulk action

Click Execute.

  • The system validates the rows.

  • Any errors are shown per row.

  • If successful, the lookup products become active immediately.

The products are now available in:

  • Order entry

  • Manual sales

  • POS (if connected)

  • SERVICE-INSTALL can be added as an order line.

  • BAG-COTTON can be scanned via barcode.

Important notes

  • Only SKU is required.

  • SKU must be unique.

  • Lookup products are usually not stock-managed.

  • Changes apply immediately in real time.
