When a standard checkout is not enough

Some sales do not fit into a shopping cart with an instant payment. Do you recognise any of these situations?

You sell custom or configured products and the customer wants to see a proposal before anything is ordered.

Your B2B customers order on account or with a deposit, not with a card payment up front.

Your showroom or sales desk creates quotes in a separate document and then retypes won deals into the order system.

How it works

Request, quote, acceptance, order: one flow

In Afosto a quote is not a separate document but an order in the making. Everything you record carries through all the way to shipping.

  1. 1

    A request comes in

From your site, showroom or phone: your sales desk starts a draft order with the customer details attached. That can be done in the BackOffice, but just as easily from your own front end through the API.

  2. 2

    A quote with live prices

Add lines from your own catalogue. Price agreements, volume tiers and VAT are calculated automatically, so the proposal matches what the order will actually cost.

  3. 3

    The customer accepts

On acceptance you open the order. You record payment arrangements per order: a deposit, payment on account or instalments. So the payment never has to hold up the intake.

    The order moves into fulfilment

The accepted quote is instantly an order in your OMS: stock is allocated, the warehouse can pick and the invoice follows the arrangements you recorded.

After acceptance it is simply an order like any other: the same picking lists, the same invoicing, the same overview.

Flexible order intake

Intake that adapts to your process

Every organisation sells differently. That is why the order flow in Afosto is not a fixed template but a set of building blocks.

Order without immediate payment

An order does not have to start at a paid checkout. Begin with a draft, add to it at your own pace and only turn it into a final order once accepted.

  • Draft orders from BackOffice, point of sale or your own front end
  • Calculate a price proposal up front, including price rules and VAT
  • Payment link or invoice only at the moment you choose

Payment arrangements and instalments

A deposit on order, the rest on delivery? On account with a payment term? You record the arrangement on the order and the invoicing follows on its own.

  • Deposits as a percentage or a fixed amount
  • Payment terms per order or as a reusable template
  • Suitable for B2B and larger B2C purchases

Custom statuses and intermediate steps

Does your process have a step that is not standard, such as a technical check or external approval? The order flow can be extended per organisation with your own statuses and alerts.

  • Your own intermediate steps such as awaiting approval or in production
  • Flag orders that need attention in the order overview
  • Set up together with the Afosto team, matching your operation

A front end to your needs

The intake does not have to start on afosto.app. Build your own configurator, quote form or order portal and talk directly to orders, prices and stock through the API.

  • Headless: your own front end on the Afosto commerce back end
  • Configurators such as the garden house builder from Azalp
  • GraphQL and REST, with a dedicated storefront token per channel

How Azalp makes quotes that turn into orders on their own

With our old platform we increasingly ran into limitations. Product management was complex, customisation was difficult, and our showroom was separate from the online experience. Thanks to Afosto, we now have one futureproof platform where webshop, configurator, quotations and showroom come seamlessly together. That gives us the scalability and flexibility to grow further across multiple countries.

FAQ

Frequently asked questions about the quotation tool

What is the difference from a regular webshop checkout?

A checkout assumes you pay right away. A quote flow turns it around: first a proposal with the right prices and arrangements, then an order and a payment. In Afosto both flows are part of the same order system, so you choose per sale what fits.

Does an accepted quote automatically become an order?

Yes. In Afosto a quote is a draft order. On acceptance you open the order and it follows the same route as any other order: stock allocation, picking lists in the warehouse and invoicing. Nothing has to be retyped.

Can we agree on deposits or payment terms?

Yes. You record payment arrangements on the order: a deposit as a percentage or a fixed amount, payment on account or multiple instalments. You can also save those arrangements as a template and reuse them for regular customers.

Does this work for B2B too?

Exactly. B2B sales often run on quotes, customer-specific prices and payment on account. Price rules per customer or customer group are calculated automatically in the proposal, and the payment arrangements handle the rest.

Can we connect our own front end or configurator?

Yes. Afosto is headless: you build your own form, portal or configurator and create orders through GraphQL or REST. Azalp lets customers configure a garden house in seven steps and DiamondsByMe built a full jewellery webshop on it.
